For IT administrators

Your people already use AI on work mail. You just cannot see it.

Somebody in your company pasted a customer thread into a chatbot this week. Maybe ten people did. You can ban it, and it will happen anyway, or you can give them an AI that works on their own mail with your rules switched on from the first question.

The problem is not that people use AI

The problem is that you have no say in how.

Shadow AI

Staff copy mail into public chatbots. There is no filter, no record and no way to answer when a customer asks where their data went.

Copilot does not reach your server

If your mailboxes are on Exchange Server, Microsoft Copilot cannot use them. Microsoft says so in its own documentation. Your people get nothing, so they find something themselves.

The auditor will ask

Who can the AI read? Who approved it? What did it do last Tuesday? Today most companies cannot answer any of those.

What you control with AddSync AI

Six settings that belong to you, not to the AI vendor.

One data filter

Hide folders, senders or marked items. One filter for the whole company, so nothing is left to per-user settings.

A service user

Exchange connects through one service user you create. No mailbox password ever goes into an AI tool.

Own mailbox only

Each person reaches their own mail and calendar. Not their colleague's.

Approval

The AI searches, shows, saves a draft and proposes. It cannot send, delete or move mail. A person clicks.

A journal

Who asked, when, which button. Message text is not stored.

An off switch

Remove a person or disable the service user. Access ends in one place.

A pilot you can finish in two weeks

You do not need a project plan. You need a few mailboxes and one afternoon.

Day 0

Choose

Pick five to ten people who live in their mail, and the system they use.

Day 1

Connect

Create the service user, set the filter, add the people.

Day 2-13

Watch

They work. You read the journal and tighten the filter where it needs it.

Day 14

Decide

Keep it, widen it or switch it off. Your call, with data.

What your boss, your CISO and your auditor will ask

Short answers you can hand over.

Questions

Do I need Microsoft 365 for this?

No. Exchange Server 2016, 2019 and Subscription Edition work directly. Microsoft 365, Gmail, Outlook.com and HCL Domino are supported as well.

Which AI tools can my people use?

Claude, ChatGPT, Codex, or AddSync chat with a model in the EU region. You choose, and the same rules apply to each.

How much admin work is it?

A short setup session, then a glance at the journal now and then. The pilot shows you the real effort before you commit.

Is there a public API?

No. Access runs through the guard.

What does it cost?

Per account. See pricing and the return calculator.

Stop talking about it. Test it.

Connect a few mailboxes for 14 days. Your rules, your filter, your journal. If it does not earn its place, switch it off.
